The Southwest Embryology Summit thanks all our sponsors for their continued support.

Vendor Sponsor Details

• Setup time is scheduled for January 8th from 3:00 pm to 10:00 pm.
• Should you require electrical power at your table, a fee of $50 applies. Please complete the provided form and return it to Marla Stern at the email address specified in the document.
• Exhibit hours are from 7:30 am to 4:30 pm on both January 9th and 10th. All vendors are invited to attend the keynote address, as well as the cocktail hour following the keynote.
• Each table measures 6 feet and will be supplied with a standard black tablecloth and two chairs.
• To ensure a respectful environment for all presenters, please refrain from dismantling tables before 4:30 pm on January 10th. As the exhibits and presentations share the same room, minimizing noise is greatly appreciated.
• Booth shipments should arrive during the week of the conference. Materials will be delivered to the ballroom on Thursday, January 8th.
• Your confirmation email contains your assigned table number. If you are unsure of your table assignment, please contact sweswebsite@gmail.com.

Shipping Procedure

All shipping labels must include the following:

• Guest’s name who is receiving it
• The group/company they are with

Labor:

First pallet ships free; each extra pallet costs $50.00. For truck deliveries, a lift gate is required.

Return shipping:

• Each client is responsible for packing up items and calling shipping company on own for pick
• Please let the front desk know that you have called and where you left packages, if small enough you can leave package at the front desk for pick up.

Vendor donation levels will continue with the three-tiered donation structure. The schedule will remain as formatted. Invited speakers will talk in the morning, and vendor talks will be in the afternoon, starting at 2 pm. Additional details on donation levels are below.

• “Blastocyst” Tier – This prestigious sponsorship level provides both a dedicated tabletop display and an exclusive speaking opportunity, available to only eight vendors on a first-come, first-served basis. Securing your place in this tier demonstrates a strong commitment to advancing the conference’s scientific dialogue. Please note that simply registering indicates your intent; payment must be received within two weeks—unless made immediately by credit card—or your reserved slot will be released to other interested vendors.

Presentations in the Blastocyst tier are expected to deliver substantive scientific insights rather than company promotions and may include updates on recent advancements or research relevant to the community. To ensure the highest quality of content, all proposed talks require prior approval from the SWES board. Approved presenters must submit their slides and all supporting materials by December 1st to facilitate review and inclusion in the official program.

• “Morula” Tier – Vendors selecting the Morula tier will receive a dedicated tabletop display space in the exhibit area. This tier is open to all interested vendors, ensuring broad access and visibility at the event. Each participating company will be assigned a table, allowing them to showcase products, distribute literature, and engage directly with conference attendees throughout the day. Please note that this tier does not include a speaker slot or additional promotional opportunities—its primary benefit is the provided display tabletop.
• “Zygote” Tier – This entry-level sponsorship tier provides vendors with admission to the conference, granting full access to all sessions and events as a participant. Vendors at this level can network freely with attendees, share information about their company, and distribute literature or promotional materials if desired. While this tier does not include a dedicated display table or a speaker slot, it offers valuable opportunities to engage one-on-one with potential clients, collaborators, and industry professionals.

Additional benefits of the Zygote tier include recognition in the event program and on the conference website, ensuring your company’s presence is visible to all participants. This tier is ideal for organizations looking to build relationships, gain exposure, and stay informed about the latest developments in the field without the commitment of a formal presentation or exhibit space.
